Deadlines
  • For all corporations and industry groups wishing to exhibit at the conference, reservation applications and payments must be received by Friday, July 24, 2009.
  • For all government and non-profit organizations wishing to exhibit at the conference, reservation applications and payments must be received by Friday, September 4, 2009.
Go Green, Get Healthy

The conference organizers invite you to join us in promoting the health and wellness of our conference participants and reducing the unwanted environmental impact of the conference. Consider these tips when planning your exhibit:
  • Select promotional items that are organic, biodegradable, recycled and/or recyclable.
  • Offer a healthy snack or a piece of fruit instead of candy.
  • Select handouts, copier and printer paper, file folders, envelopes, and writing pads that are made from post-consumer recycled content.
  • Minimize the amount of materials that you ship to the event, and use recyclable packing materials for those you do ship.
  • Reduce paper and save shipping costs by sending information to attendees electronically after the conference concludes.
  • Educate conference attendees about your organization's green policies and offer tips for more green practices.
  • Consider using computers for presentations or to display your webpage at your booth instead of paper handouts (additional setup fees would apply).
  • Use public transportation to get to the event.
  • Use recycling bins at the event.
  • Bring your own reusable water bottle to the conference.
Exhibit Coordination
  • Exhibitors will receive further logistical information, including exhibit setup, shipping instructions, and material handling rates from the conference exhibit coordinator by Friday, September 18, 2009.
  • Additional services or equipment (e.g., electricity, internet access, furniture, etc.) are not covered by the exhibit fee and must be purchased directly from the conference exhibit coordinator.
Cancellation/Refund
  • All cancellation requests must be made in writing and submitted to nephc2009@cdc.gov.
  • Refunds, minus a $50 processing fee, will be returned 6 - 8 weeks after the conference for cancellations received by Thursday, October 1, 2009.
  • Refunds will not be offered for cancellations received after Thursday, October 1, 2009.
Agreements
  • Exhibitor registration shall be considered a binding agreement between the exhibitor and the 2009 National Environmental Public Health Conference subject to the guidelines described here including those related to benefits, features, rates, deadlines, Go Green, Get Healthy requests, coordination, cancellations, refunds, agreements, liability, and insurance.
  • All exhibits must be related to the environment, public health, and/or environmental health.
  • Nothing shall be posted, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of the building or furniture. Anything in connection therewith, necessary or proper for the protection of the building, equipment, or furniture will be at the expense of the exhibitor.
  • Subletting, assigning, or apportioning all or part of the exhibitor's space by an exhibitor is prohibited.
  • Exhibitors may not sell merchandise in the Exhibit Hall.
  • Distribution of alcohol and tobacco is prohibited.
  • Full payment must accompany the exhibit reservation application. Applications will not be processed unless full payment is received.
Liability
  • The sponsor, co-sponsors, and partners of the 2009 National Environmental Public Health Conference and their staff have no liability to any exhibitor for any personal injury, death, or damage to property (including display area) occurring and/or arising from actions of the exhibitor, his/her employees, agents, or licensees. By submitting an application to reserve booth space, each exhibitor agrees to protect, indemnify, and hold harmless the conference sponsor, co-sponsors, partners and their staff, as well as the Sheraton Atlanta Hotel, Team PSA, and the conference exhibit coordinator from any and all claims, liability, damages, or demands that may arise from or be asserted in connection with the foregoing undertaking and responsibilities of the exhibitor.
Insurance
  • It shall be the responsibility of each exhibitor to maintain insurance coverage against injury to persons, damage to or loss of property, or to meet obligations under this agreement, in such amounts as the exhibitor shall deem adequate. Insurance will not be provided by the 2009 National Environmental Public Health Conference, its sponsors, co-sponsors, or partners.
