Instructions for Abstract Submission

Submission Requirements

  1.   Each abstract must be submitted as an oral or a poster presentation.
    • Oral:
      • A limited number of abstracts will be selected for oral presentations.
      • Oral presentations are limited to 15 minutes for each presenter and five minutes for discussion.
      • Authors should prepare presentation media that are clear enough to be seen by a large group in a room that is not completely dark.
      • A speaker ready room will be available on-site for review of slides, video or computer projection before presentation.
    • Poster:
      • Presenters scheduled in poster sessions will be assigned a board to display text and other illustrative material (graphs, charts and tables) and will be assigned a specific day to present.
      • Posters will be on display for the entire meeting.
      • The poster session will be held jointly with the networking reception on Thursday, June 26th, from 5:00 to 7:00 p.m. central time.  Presenters should be present at their assigned poster board to discuss their work with attendees.
    • Oral presentations must indicate if they are willing to present as a poster if the program committee is unable to accept their abstract to present for an oral presentation.
      • If the submitter has indicated they are willing to accept a poster presentation if the committee is not able to offer them a speaking slot, then the abstract is automatically considered for a poster presentation if not picked to be presented orally.
      • If the submitter has indicated they will not accept a poster presentation and the abstract is not accepted for an oral presentation, then the abstract is declined.
  2. Titles are limited to 250 characters, including spaces.
  3. Each abstract must indicate presenter(s).
    • Data required:
      • First Name
      • Last Name
      • Affiliation
      • Full Mailing Address
      • E-mail Address
      • Phone
      • Trainee Status (if applicable)
  4. Presenters will receive all communication from AHE regarding the outcome of the submission, and presentation details upon acceptance.
  5. Each abstract can include a maximum of 12 co-authors.
    • Data required:
      • First Name
      • Last Name
      • Affiliation
      • Affiliation Location
      • E-mail Address
  6. Each oral or poster abstract should indicate the most appropriate scientific category.
    • Translational Research
    • Social Justice versus Market Justice
    • Environmental Health Disparities
    • Policy Implications
    • Women’s Health
    • Men’s Health
    • Socio-Economic Status/Position (SES/P)
    • Building the Pipeline
    • Policy & Ethics
  7. Abstracts are limited to 3,000 characters, not including spaces.
    • Abstract text should not include authors, references or acknowledge funding sources.
    • Use spell check and word count features.
  8. Additionally, learning objectives must be described. 
    • The planning committee reserves the right to reassign abstracts if necessary.
    • NOTE: Learning objectives are not counted toward the character count.
  9. Authors will be asked to select keywords that best describe their research to allow efficient grouping of posters and a simpler method to search abstracts.
