About the 2008 Ryan White Data Report (RDR) and ADAP Quarterly Report (AQR) Training:
In order to meet funding requirements, service providers funded by the Ryan White HIV/AIDS Program must complete the Ryan White HIV/AIDS Program Annual Data Report (RDR) detailing information on all the clients they served during the course of the calendar year. This annual training will prepare grantees to accurately complete and submit the report.
The training will have two parts. A half day pre-session will take place in the morning of the first day. The pre-session is designed for grantees that have never completed the RDR or desire a closer look at the instrument and reporting requirements. During this pre-session, grantees will be walked through the RDR, section by section. There will be plenty of time built in to practice and to ask questions. We encourage all new staff members to attend the pre-session.
In the afternoon on the first day, the regular session will begin with an overview of the RDR, focusing on new reporting requirements, and highlighting areas that have proven challenging in previous years. Grantees will be shown how to navigate HRSA's Electronic Handbooks (EHBs) and the Web data entry system. Regardless of method of submission (Web data entry or XML upload) all grantees will be required to use the EHBs to submit and/or approve 2008 data.
The second day of training will incorporate interactive activities intended to solidify many of the basic concepts presented during the pre-session and to introduce more advanced concepts related to data validation and submission, including a grantee panel discussion. Participants will also receive hands-on training on how to use the Web system to report 2008 data. In addition, there will be a demonstration of how to use CAREWare to generate your RDR>
On day three, an overview of the Ryan White Services Report (RSR), HAB's new client-level data reporting system, will be provided. This will include a description of the RSR materials and requirements, as well as a preview of the RSR Web system and submission procedures. All RWHAP-funded agencies will submit at least one portion of the RSR in 2009: all grantees will submit the Grantee Report; all providers will submit the Service Provider Report; and providers of outpatient/ambulatory medical care and case management (medical and non-medical) will be required to submit client-level data. The day will close with training on the AQR and reporting data via the ADAP Web data entry system. The AQR has changed so all individuals responsible for reporting ADAP data are encouraged to attend this session.
The content of this year's trainings will be similar to last year, focusing on both the grantee submission process and the data report form itself. We encourage new staff as well as grantees that are unfamiliar with the RDR and/or the EHBs to attend one of the trainings this fall. Grantees' responsibilities with the data submission process will be highlighted. Materials will be made available to assist grantees in training their service providers.
When you register, please answer all the questions included in the registration form. The answers will be used to tailor the trainings to meet the needs of participants. During the registration process participants will be asked if they plan to attend the RDR pre-session, the CAREWare session, RSR session, and/or the AQR session.
